Venue Readiness & Late Start Policy

The customer/venue is responsible for ensuring that the workshop area is fully prepared and accessible before Royal Candles NZ arrives for setup.

Royal Candles NZ requires access to the venue at least 60 minutes before the confirmed workshop start time to allow sufficient time to unload equipment, prepare the workspace, set up materials and safely prepare for participants.

The venue must have the required tables, chairs, suitable covered/indoor space and access to power ready before Royal Candles NZ's scheduled arrival time.

Venue Not Ready

If Royal Candles NZ arrives at the agreed setup time and the venue is not ready for setup due to circumstances within the customer's or venue's control, Royal Candles NZ may charge an additional $30 per 30 minutes for waiting time and/or additional setup time.

This may apply where:

tables are not available or have not been set up;
chairs are not available or have not been set up;
the required indoor or outdoor shelter is still being erected;
the workshop area is occupied or otherwise unavailable;
access to the venue is delayed;
the required power supply is unavailable;
the venue requires Royal Candles NZ to wait before equipment can be unloaded or setup can begin; or
other venue-related delays prevent Royal Candles NZ from completing the scheduled setup.

The fee applies only to additional time reasonably caused by the venue or customer and will not apply where the delay is caused by Royal Candles NZ.

Delayed Workshop Start

If a venue-related delay prevents the workshop from commencing at the confirmed booking time, Royal Candles NZ may charge for the additional time required and may need to adjust the workshop schedule.

Royal Candles NZ will make reasonable efforts to provide the agreed workshop experience. However, where a significant venue delay reduces the available workshop time, Royal Candles NZ cannot guarantee that the workshop will be able to run for the full scheduled duration.

Any additional waiting or delay fee will be communicated to the customer where reasonably practicable.

Venue Responsibility

The customer is responsible for communicating these venue requirements to the venue and ensuring that the venue is ready before Royal Candles NZ's scheduled arrival.

By confirming the booking, the customer acknowledges these requirements and accepts responsibility for reasonable additional costs caused by venue-related delays.

Nothing in this policy is intended to exclude, restrict or modify any rights or remedies that cannot legally be excluded under New Zealand law.
