Mobile Candle-Making Workshop Booking & Cancellation Policy
Workshop Pricing
Our mobile candle-making workshops are priced according to the number of participants:
- 20 participants: $20 per person
- 21–40 participants: $18 per person
- 41-60 participants: $16 per person
- 61-80 participants: $14 per person
- 81-100 participants: $12 per person
The minimum booking is 20 participants.
The workshop price includes:
- 1 × 100ml candle-making kit per participant
- One fragrance selection for the group
- Candle-making instruction and guidance
- Workshop equipment supplied by Royal Candles NZ
- Setup and pack-down of workshop equipment
The venue must provide suitable tables, seating and access to a suitable power supply. The workshop must be held indoors or in a suitable covered area.
25% Booking Deposit
A 25% booking deposit is required to secure your workshop date.
The deposit is calculated from the agreed booking value.
For example:
- 20 participants × $20 = $400
- 25% deposit = $100
- Remaining balance = $300
The deposit secures the agreed workshop date and allows Royal Candles NZ to reserve equipment, purchase or prepare materials, allocate staff/time and decline other bookings for that date.
The booking deposit is non-refundable if the customer cancels the booking, subject to any rights or remedies the customer may have under applicable New Zealand law.
Where a refund or other remedy is required by New Zealand law, Royal Candles NZ will comply with those requirements.
Royal Candles NZ may also agree to refund or transfer all or part of the deposit where exceptional circumstances apply.
Deposit and Cancellation
The booking deposit is non-refundable where the customer cancels or withdraws from the booking, except where a refund is required by New Zealand law or where Royal Candles NZ agrees otherwise.
The non-refundable deposit reflects the costs and commitments associated with reserving and preparing for a private/mobile workshop.
Royal Candles NZ will not use the deposit clause to exclude any rights a customer may have under the Consumer Guarantees Act or other applicable New Zealand law.
Rescheduling
We understand that plans and circumstances can change.
You may request one complimentary change of workshop date where at least 3 days' notice is provided.
Rescheduling is subject to Royal Candles NZ availability, and the original deposit will be transferred to the new date.
The new workshop date must normally be within 6 months of the original booking date.
Requests made with less than 3 days' notice may be considered at Royal Candles NZ's discretion and may be subject to reasonable costs already incurred.
A second reschedule may incur an administration or preparation fee where reasonable.
Customer Cancellation
Any cancellation costs will be based on the circumstances and reasonable loss incurred and will not be intended as a penalty.
More than 14 days before the workshop:
If the customer cancels more than 14 days before the scheduled workshop:
- The 25% booking deposit is retained.
- No additional cancellation charge will normally apply.
- The customer may request one alternative workshop date instead of cancelling, subject to availability.
7–14 days before the workshop:
If the customer cancels between 7 and 14 days before the scheduled workshop:
- The 25% booking deposit is retained.
- Royal Candles NZ may recover any additional reasonable, non-recoverable costs already incurred specifically for the booking.
- Where practical, Royal Candles NZ may offer one alternative workshop date.
Any additional amount sought will be based on actual or reasonably estimated loss rather than being imposed as a punitive charge.
Less than 7 days before the workshop or cancellation on the day:
If the customer cancels less than 7 days before the workshop:
- The 25% booking deposit is retained.
- Royal Candles NZ may seek payment for reasonable, non-recoverable costs already incurred specifically for the booking.
- This may include materials purchased or prepared specifically for the booking, personalised items, venue-related costs paid by Royal Candles NZ, travel commitments and other direct costs that cannot reasonably be recovered.
- Royal Candles NZ will take reasonable steps to minimise its loss where possible.
Cancellation on the Day / No-Show
If the customer cancels on the day of the workshop or fails to provide access to the agreed venue:
- The 25% booking deposit is retained.
- Royal Candles NZ may seek payment for reasonable, demonstrable losses resulting from the cancellation, including materials specifically prepared or purchased for the booking and reasonable travel-related costs.
- Any amount claimed will be based on the actual circumstances and will not be used as an excessive penalty.
Final Participant Numbers
Final participant numbers must be confirmed at least 7 days before your workshop.
The final confirmed number will be used to calculate your remaining balance.
If additional participants are requested after this time, Royal Candles NZ will accommodate them where materials, equipment and venue capacity allow.
Royal Candles NZ cannot guarantee places for participants added at short notice.
If participant numbers are reduced after materials have been purchased or prepared specifically for your booking, reasonable costs already incurred may still apply.
Reduction in Participant Numbers
If the customer reduces the number of participants after paying the deposit, the deposit will not automatically be recalculated or refunded.
Where the reduction occurs before the final participant number is confirmed, Royal Candles NZ may agree to adjust the outstanding balance.
Once materials have been purchased or prepared specifically for the booking, the customer remains responsible for reasonable costs already incurred.
Minimum Booking
The minimum booking is 20 participants.
The minimum booking value is therefore $400.
If the customer later reduces the booking below 20 participants, the booking will still be subject to the agreed minimum booking value unless Royal Candles NZ agrees otherwise in writing.
Remaining Balance
The remaining balance is due no later than the day of workshop unless another payment arrangement has been agreed with Royal Candles NZ.
Your booking may be cancelled if the remaining balance is not received by the due date.
Royal Candles NZ Cancellation
If Royal Candles NZ needs to cancel a workshop because it cannot reasonably provide the agreed service, Royal Candles NZ will contact the customer as soon as reasonably possible.
The customer will be offered:
- an alternative workshop date; or
- a refund of amounts paid for the cancelled workshop, where required or appropriate under New Zealand law.
Royal Candles NZ will not rely on the non-refundable deposit provision to avoid a refund where the law requires a refund or other remedy.
Circumstances Outside Our Control
Sometimes circumstances outside either party's reasonable control may prevent a workshop from proceeding.
Examples may include:
- severe weather
- natural disasters
- unsafe venue conditions
- significant power failure
- emergency situations
- government restrictions
- other circumstances that make the workshop unsafe or impractical to provide.
Where this occurs, Royal Candles NZ will work with the customer to reschedule the workshop where reasonably possible.
If rescheduling cannot reasonably be arranged, Royal Candles NZ will consider an appropriate refund or credit based on the circumstances and applicable New Zealand law.
Venue Requirements
The customer is responsible for ensuring the venue:
- is suitable for candle-making activities
- has adequate tables and seating
- has suitable electrical access
- is indoors or suitably covered
- provides adequate space for the number of participants
- allows Royal Candles NZ sufficient access for setup and pack-down
- is safe and accessible for the workshop.
Royal Candles NZ generally requires approximately 60 minutes before the scheduled workshop for setup and approximately 30 minutes after the workshop for pack-down and cleaning.
Workshop Age Requirement
Participants must be 12 years or older.
Participants under 18 must have appropriate adult supervision where required.
Royal Candles NZ reserves the right to refuse participation where a participant's behaviour creates an unreasonable safety risk to themselves, other participants, the venue or Royal Candles NZ staff.
Candle Safety
Participants will receive safety instructions before and during the workshop.
Participants must follow all reasonable safety instructions provided by Royal Candles NZ.
Royal Candles NZ may stop a participant from undertaking an activity if they believe the participant is creating an unsafe situation.
Consumer Rights
Nothing in these terms is intended to exclude, restrict or modify any rights or remedies that cannot legally be excluded under New Zealand law, including rights that may apply under the Consumer Guarantees Act 1993 and Fair Trading Act 1986.
Agreement to Policy
By paying the booking deposit, the customer confirms that they have read and accepted these Workshop Terms, including the deposit, payment, cancellation and rescheduling conditions.
Policy Review
Royal Candles NZ reserves the right to update these terms from time to time.
The terms applying to a booking will be the terms provided to and accepted by the customer at the time the booking is made, unless a later change is agreed by both parties.
